KofiTrack exists to help your factory run smoothly — tracking deliveries, calculating payments accurately, and keeping records your members can trust. We designed our pricing around one simple rule: we only ask for a fee at the moment you pay your members — and never more than a small fraction of that payment. No monthly bills. No charges during the months when coffee is still being delivered and no money has come in yet. No surprise invoices.
Whether you run one buying centre or a cooperative society with several factories, every farm gets the full KofiTrack platform — delivery recording, member management, advances, SMS notifications, and reporting. Access is never tiered by size.
What you pay KofiTrack is calculated from your real payout to members at each payment round — not a guess, not a flat subscription. A good season means a bigger payout and our fee reflects that; a lean season means a smaller fee too.
A one-time fee of KSh 10,000 is charged when your factory joins KofiTrack. This covers account setup, data migration, and training for your staff — the same for every factory, regardless of size.
Every time your factory runs a payment round for members, KofiTrack calculates the total value of that round (kilos paid × rate per kilo, including any top-up payments). Our fee is a percentage of that total value:

Our fee will never exceed 0.6% of any single payment round, no matter how the price per kilo changes during the season.
Suppose your factory runs three payment rounds in a season, exactly as kilos are delivered and rates are declared:

At larger, real-world factory volumes, the same logic applies — just at the appropriate bracket. For example, a factory paying out KSh 42,000,000 across a season (about 600,000 kg at KSh 70/kg) would pay roughly KSh 126,000 in total platform fees for the entire season — about 0.3% of what was paid to its members.
Your fee automatically becomes smaller too, because it is calculated from your actual payout value at that moment — not a fixed amount agreed in advance.
No. Apart from the one-time onboarding fee, nothing is owed until you run an actual member payment round.
No. The fee is a separate platform service charge paid by the factory for using KofiTrack — it is not deducted from amounts owed to farmers.
No. Any change to this fee structure will be communicated to your factory in writing well before it takes effect.
Yes. Every member-managing feature — delivery recording, balances, statements, advances, SMS notifications — is available to every farm on KofiTrack regardless of size. What changes from season to season is your payout, based on what your members actually earn, not what features you can access.
